How OFFSHOREPERSONNEL LTD uses and safeguards recruitment, client and workforce information under UK GDPR and the Data Protection Act 2018.
Who is responsible for your information
OFFSHOREPERSONNEL LTD, company number 17360723, is the data controller for information collected through this service. Our registered address is Level One, Basecamp Liverpool, 49 Jamaica Street, Liverpool, L1 0AH. Our ICO registration number is ZC242739. Privacy enquiries and rights requests can be submitted through our contact page or, after registration, secure portal messaging.
Information we collect
We collect account and contact details, encrypted residential address, date of birth, calculated age eligibility, professional history, skills, availability, travel and transport preferences, preferred engagement route, VAT status where relevant, NAECI project experience, applications, right-to-work evidence and role-specific certificates. Exact address, date of birth, calculated age and VAT number are restricted to the worker and authorised compliance personnel; recruiters use only the broader location and suitability information needed for matching. Date of birth is used for identity, certificate and genuine role-specific age checks. Driving information is limited to licence type, categories, expiry and transport availability; a licence number is not requested at general registration. For clients we collect company, worksite, staffing, billing and authorised-user information. After engagement or placement, records may also include encrypted payment details, emergency contacts, assignments, approved timesheets and relevant work-related incident records. If you choose optional vacancy, training, industry or client updates, we also retain the selected topic, consent source and consent or unsubscribe dates.
Why we use it
We use profile and application information to take requested pre-contract steps and perform worker or client agreements. We use identity, right-to-work, agency, pay, tax, holiday and accounting information to meet legal duties. Legitimate interests support proportionate recruitment administration, candidate sharing for a defined requirement, service security, fraud prevention and legal claims after a balancing assessment. We do not use solely automated decisions to determine whether a person is verified, shared, placed, suspended or offered work.
Optional email updates
Vacancy alerts, worker training and industry updates, and client workforce updates are optional and separate from essential account, security, assignment and service messages. Individual subscribers receive an optional topic only after making a positive choice. Every campaign identifies Offshore Personnel and provides an unsubscribe route. You can withdraw a topic at any time through email preferences or its unsubscribe link without affecting registration, applications or portal access.
Special-category information
We limit health information to necessary offshore medical-fitness evidence, status, work-related injury or exposure evidence and restrictions needed for safe placement rather than full medical histories. The normal basis is legal obligation or a proportionate legitimate interest together with the UK GDPR employment/social-protection or legal-claims condition and the applicable Data Protection Act 2018 safeguard. Consent is not the default in an employment context. Access is restricted to authorised personnel with a recorded need.
Limited professional summaries in client search
We are introducing a way for approved hiring clients to find workers through limited professional summaries in their signed-in portal. Registration alone does not put you in client search: our team must review and approve your summary first. Search can show: A worker reference, broad region, role, relevant experience band, selected skills and certificate types, evidence-review status and availability category. Your name, contact details, exact address, age or date of birth, CV and certificate files, identity documents, bank and next-of-kin details, medical information and internal notes are not shown in search. We retain the link to your internal record, and professional details may allow someone to recognise you; these summaries remain personal information, not fully anonymous data. Client interest is not a job offer or booking. Our team follows up manually and contacts you before arranging an introduction. Full candidate details are handled separately; reading this notice does not approve a candidate pack. Contact us through secure portal messaging or our contact page if information is wrong or you wish to object or ask us to restrict use of your summary. We consider requests under the rights explained in this notice. When you use the portal notice button, we keep a dated acknowledgement of the notice version. This is not consent, proof of comprehension or approval to publish your profile or release a candidate pack.
Who receives information
Approved hiring clients can view the limited professional summaries described above. Separately, a verified client may receive a candidate pack deliberately shared for its defined staffing requirement. Exact date of birth and calculated age are not included; where a role has a lawful minimum-age requirement, the client may receive only the relevant eligibility outcome. We may also use contracted providers for secure hosting, document scanning, email, accounting and independent payroll processing, and disclose information where required to regulators, law enforcement, professional advisers or insurers. Bank details, internal notes and unrelated medical or incident information are not included in client candidate packs.
Retention and international transfers
Retention is based on whether an account remains active, whether a placement or contract was made, statutory record-keeping periods, limitation periods and documented safety or dispute requirements. When there is no continuing purpose or legal reason to retain a record, it is securely deleted or anonymised. If a supplier processes information outside the UK, we require a lawful transfer mechanism and proportionate contractual and security safeguards.
Your rights
Depending on the circumstances, you may request access, correction, deletion, restriction, portability or objection, and may withdraw consent where processing relies on it. Account closure does not remove records that must be retained by law or for legal claims. We will verify requests before acting. You may also complain to the Information Commissioner’s Office at ico.org.uk if you are unhappy with our response.
